Keeping in touch with clients throughout the year

Keeping in touch with your clients through out the year can help improve and increase your business. Here are a few ideas how to keep in touch!

Idea #1: Send a friendly' letter! Most people enjoy hearing what has been going on in their friends, co workers, and freelancers lives.  On a quarterly or semi annually basis, put together a letter to send to everyone you know! Some of the content can include information on a new service you are launching, details about a seminar or conference you have attended, testimonials from clients, as well as to let your current clients know that you have available openings in your schedule and can accept new client, there for opening the door to referral business!

Idea #2:  Send out birthday cards letting each of your clients know that you remember! Everyone likes to be remembered and this gives a personal touch!

Idea #3: Send a postcard:  A postcard can give a little notice that you are available without spending too much time having to come up with an entire letter or conversation.

What kind of client are you?

1. The "A" List: these are your ideal clients – you like them, they like you – they pay you on time – they give you testimonials and referrals – they're getting the results they want. Keep them close – love them – connect with them regularly.

2. The "B" List: these are clients who 'could' become an "A" client – they just need some attention – from you!

3. The "C" List: these are the clients who drain your energy – they don't pay on time, they don't implement whatever you suggest or recommend, they are full of excuses. PUNT THEM! FIRE THEM! Let them go……..

How to Get a Grip on Expenses

Whether your clients work for themselves or run a small business with employees, they may find that expense tracking is a time-consuming task. If they don’t stay on top of tracking, business expenses can pile up, leaving them sorely behind in bookkeeping and making your job of reconciling more challenging.
One way to simplify expense management is to use a single credit or charge card for all business expenses, then track those transactions through QuickBooks® Online (QBO). A new app called Connect to QuickBooks allows your clients to send expenses charged on their American Express Business Card to the QuickBooks Banking page. Once enrolled in Connect to QuickBooks, American Express will automatically send your clients’ Business Card transactions to QuickBooks on a daily basis.
What are some challenges of managing expenses and how can you solve them?
1. Limited Visibility on Expense Spending
Are yourclients aware of how much they’re spending on travel, business lunches, utilities, advertising or office supplies?  With one credit or charge card account, the process of managing expenses is simplified. They’ll have a better sense of what’s being spent on a monthly basis and how they might be able to optimize spending going forward.
With Connect to QuickBooks, your clients can review Business Card transactions on their QuickBooks Banking page, and have access to details, such as flight dates and vendor identification.
A hallmark of the QuickBooks platform, transactions will be automatically tagged with QuickBooks categories.  Seeing all categorized expenses in one place can help determine where the bulk of spending is being done. 
2. Missing Business Receipts
Missing receipts can lead to inaccurate expense reporting. Mobile technology makes receipts easier to track. With a receipt in hand, a digital photo can immediately capture the information before the paper receipt gets lost.
Small business owners with Business Cards from American Express OPEN can take advantage of ReceiptMatch Mobile App.  Once you enroll in ReceiptMatch from American Express, it will automatically match the digital photo of a receipt to the transaction on your American Express online statement. When you use ReceiptMatch and Connect to QuickBooks, you can snap a photo of a receipt, tag the transaction with a QuickBooks category, and send the receipt image and other details directly to your QuickBooks account.
3. Managing Employee Expenses
Do your clients have employees who are late submitting expense reports or are spending over their limits? Employees can also use one credit or charge card account, making it easier to track their business expenses and transactions in real time.
American Express OPEN offers Employee Cards that give small business owners control by setting spending limits and getting text alerts when purchases are made. Then, using the ReceiptMatch Mobile App and Connect to QuickBooks, employees can tag Business Card expenses with QuickBooks categories. Their tagged transactions and receipts will be automatically sent to QuickBooks every day, so the business owner can manage all of their and their employees’ Business Card expenses directly in QuickBooks.

How to Use the Off Season to Prepare for Tax Season

Many accountants can’t wait until the holiday season starts rolling around. Their phones stop ringing off the hook, clients’ personal and corporate taxes are filed away, and there’s the great allure of relaxing with a cup of eggnog in front of the fireplace to end the year.
While it’s tempting to squeeze in some much needed rest after months of accounting craziness, now is the best time to get all your ducks in a row in preparation for next season. So, while you should get some rest and relaxation in, make sure you are also not just carving the turkey, but carving out some time to work on business tasks.
We recently had the privilege of sitting down with Mike Pinkus, co-founder of ConnectCPA, a Canadian-based online accounting firm. ConnectCPA is a Firm of the Future. The firm has a Toronto office, which clients are welcome to visit, but the majority of their communication is conducted through online applications such as Skype or Google Hangouts. This option saves clients time and avoids the hassle of commuting to a meeting, says Pinkus. They also embrace value pricing, which lets the firm offer unique services as added value.
While many tax preparers and firms attempt (and often fail!) to spread the workload throughout the year, rather than have everything hit at once, Pinkus and his team at ConnectCPA have managed to consistently accomplish this.
Pinkus was kind enough to offer a few tips and tricks on how other tax preparers can do the same.
  1. Set up effective internal processes. ConnectCPA finds a CRM with task deadlines to be helpful since it generates deadlines for clients. Their CRM lets them see what’s on tap and the team establishes who handles the initial task, who reviews the work and who is accountable for any issues.
  2. Find someone with tech expertise. There’s a lot of technology out there to make our lives easier, but it’s a matter of finding a solution that matches your expectations. If you or your employees lack technical expertise, reach out to experts to audit your systems. Not every firm should have a focus on technology, but take baby steps to improve since the industry is evolving at a fast pace, says Pinkus.
  3. Touch base with your clients through the year. The relationship with your clients should be ongoing. At ConnectCPA, clients are kept up-to-date on how to manage their bookkeeping in the cloud, which includesQuickBooks® Online as one of the tools in their arsenal. This lets the firm monitor the account’s current status and flag potential issues. For example, if a company underwent extensive growth, they could find themselves stuck with an unexpectedly large corporate tax payment, says Pinkus. In cases like this, accountants can advise clients to make advanced installment payments ahead of time to avoid a whopping lump sum payment.
By consistently heeding these steps throughout the year, you will free yourself up to take care of the various fires that come up for clients during the busiest part of Tax Season.
